Grant Billing Specialist
The PLACE is seeking a detail-oriented Grant Billing Specialist to manage the billing process for grants and ensure compliance with funding requirements. This role is essential in maintaining our financial health and supporting our mission by effectively tracking, billing, and reporting on grants that support our programs.
JOB DUTIES
The job duties of this position are performed personally, in cooperation with your supervisor, and/or in coordination with other staff.
- Billing Management: Prepare and submit accurate and timely billing for grants, ensuring adherence to funder guidelines and deadlines. Verify that all billing activities align with grant conditions.
- Financial Reporting: Generate and analyze financial reports related to grant billing and expenditures. Support budget forecasting and financial planning efforts by providing clear, accurate reporting on grant-related finances.
- Documentation and Compliance: Maintain meticulous documentation of billing activities and ensure compliance with federal, state, and local regulations governing grant funds. Regularly update and organize records to support audits and internal reviews.
- Collaboration: Partner with program managers and finance staff to ensure the proper allocation of grant funds. Address billing inquiries and discrepancies promptly to maintain smooth operations across departments.
- Grant Tracking: Actively monitor grant budgets and expenditures, providing regular updates to management. Assist in the preparation of information for grant renewals and new applications to optimize funding opportunities.
- Communication: Serve as the primary point of contact for funders regarding billing inquiries, and foster positive relationships with grantors through timely and professional communication.
- All other duties as assigned.
MINIMUM QUALIFICATIONS
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Demonstrated experience in grant billing or financial management, ideally within the nonprofit sector.
- Proficiency in QuickBooks Online and Microsoft Office Suite, particularly Excel, to handle financial data and reporting.
Strong understanding of grant compliance and reporting requirements, especially those relevant to nonprofit organizations.
- Excellent analytical skills, attention to detail, and strong organizational skills to manage multiple deadlines effectively.
- Must be computer proficient and possess experience of Microsoft Office Suite (e.g. Outlook, Word, PowerPoint, and Excel).
- Familiarity with housing-related funding sources and grants is a plus.
- Understanding of nonprofit finance best practices to support the organization’s mission.
- Strong ability to collaborate effectively within a team-oriented environment and engage positively with external partners.
- Must pass both federal and state background checks as well as pre-employment TB screening.

WORK ENVIRONMENT
Employees in this position may be subject to long hours on their feet in an office, outdoor, and shelter environment that may frequently include physical conditions such as inclement weather or temperature extremes, sharps, drugs and paraphernalia, and interpersonal contact from non-employees that include sexual innuendo and raw, abusive or threatening language. Employees must be comfortable providing safer sex supplies and bleach kits to youth.
The PLACE provides personal protective equipment (PPE) and safety training to prepare and protect The PLACE employees in these uncontrolled environments. Compliance with safety protocol is required, which may include the use of PPE, involvement of law enforcement, and/or enactment of emergency protocols, detailed in The PLACE’s Emergency Operations Plan.
PHYSICAL REQUIREMENTS
- Employees are frequently required to sit, stand, walk, use hands to handle or feel objects, tools, or controls, reach with hands and arms, and occasionally stoop, kneel, or crouch
- Requires manual and finger dexterity and eye-hand coordination
- Able to speak and write the English language in an understandable manner
- Requires the ability to use department equipment, such as telephones, personal computers, adding machines, copiers, fax machines, etc. Position requires frequent use of computer and phone
- Able to hear well enough to communicate with employees and others
- Able to be on feet and mobile up to 8 hours a day
- Able to lift up-to 50 lbs.
