Position Summary:
We are looking for an Office Assistant who is excited to support The Park People’s mission and values. Our staff team is small but mighty and growing, so the Office Assistant’s duties include a wide-ranging set of responsibilities. The successful candidate will enjoy routine office work, possess excellent interpersonal skills, be able to manage multiple projects and priorities, work both independently and as part of a team, and be comfortable with flexibility in duties.
The Office Assistant will report to and work closely with the Operations Manager. The Office Assistant will also support work of the Executive Director and Development Manager, and have plentiful opportunities to work alongside other staff members, volunteers, board members, clients (program participants, donors, and the public), and vendors as well.
Duties & Responsibilities:
- Perform daily office and administrative duties including managing mail, phone calls, voicemails, emails, calendars, and office scheduling and logistics.
- Serve as receptionist and primary point of contact for the public – via phone, email, and office visits.
- Support fundraising activities, including processing non-profit donations, entering donor/funder information into software system (Salesforce), managing other portal information, and acknowledging/thanking contributors.
- Support financial processes, including making bank deposits, organizing documentation for financial recordkeeping, and support for the annual audit.
- Prepare reports and organize information related to donors or other projects, as needed.
- Responsible for managing Executive Director’s calendar and coordination of in-person meetings and event arrangements for board and committee meetings, program training sessions, volunteer events, and other activities.
- Work with office volunteers to support The Park People programming and projects.
- Manage orders for office, kitchen, and programs supplies. Schedule office cleaning and maintenance as needed. Manage office recycling and printers.
- Support various administrative tasks, office projects, and operations-related matters.
- Set up laptop, projector, and video conference speaker for meetings and events, as needed.
- Other duties as needed.
Desired Qualifications:
- 1-2 years of experience (or equivalent education) working in a busy small office providing administrative support.
- Competent in Microsoft Office (Word, Excel, Outlook, Teams), Google Suite (Docs, Sheets, Gmail), and ability to become fluent with organization-specific programs and software (Salesforce and other).
- Strong organizational skills, attention to detail, and ability to track multiple schedules, events, activities, and logistics.
- Ability to work independently and manage priorities in a busy setting.
- Strong interpersonal and communication skills (listening, speaking, and writing) to work effectively with members of The Park People’s internal and external communities.
- Enthusiastic, dedicated, and adaptable team player.
- Friendly professionalism and sensitivity to confidential information.
- Concern for the environment and love of trees, parks, and our communities.
- Experience working with diverse groups of people
- Sense of humor and flexibility.
- Ability to lift 50 pounds, support set-up/break down of events, drive The Park People’s vehicles with equipment and/or people and willingness to support outdoor planting events, as needed.
- Spanish language is greatly valued.
