Bilingual Outreach and Administration Assistant

General Description:

The Fax Partnership’s Bilingual Outreach and Administration Assistant position will have both internal and external facing responsibilities. These activities include supporting the Residential Support Office with client support, such as providing resource navigation assistance to Spanish-speaking clients and assisting with organization events and programming, as necessary. This position will also work with The Fax Operations Director to provide administrative support on invoicing, client data entry, office space management and general administrative support. The Fax is a small nonprofit with a dynamic team that works in a fast-paced environment. This position will provide ample learning opportunities within affordable housing, social services and community development topic areas – the best candidate for this position is someone excited to make a difference in the community.

This is a full-time, benefitted, exempt position.

Duties include but are not limited to the following. Other duties as assigned.

Supervision/Relationship Management:

– Participate in and contribute to weekly all-staff meetings

– Participate in and contribute to weekly team meetings

– Participate in individual meetings with supervisor

– Cultivate and maintain positive working relationships with client caseload

– Function as point of contact for Spanish language clients

– Attend meetings with partner organizations 

– Support the management of board of Directors materials

Data Entry and Bookkeeping Support:

– Input customers information into the organization’s management system

– Scan, track and process data collection surveys

– Record payments and invoices, organize and prepare financial invoices

– Assist Operations Director with managing organizational financials and audits   

Residential Support Office Assistance

– Work with RSO Community Resources Navigator to assist clients of The Fax’s food pantry, diaper bank and resource navigation services

– Assist Spanish speaking clients with resource support such as finding food banks, clothing, childcare, housing resources, etc.

– Assist Spanish speaking clients with applications for SNAP, TRUA, LEAP, etc.

– Help maintain up to date resource support information/database for the RSO 

– Build relationships with different members of East Colfax community

Community Involvement and Events:

– Assist in planning events, assisting with logistics and execution

– Attending Fax and other community events

– Assist with the distribution of marketing materials and brochures to residents, businesses and community spaces

Office Space Management

– Maintain Fax office space

– Perform supply ordering, inventory management

Required Qualifications:

– 1-year experience working with the public in a community or other assistance position

– Bilingual required, Spanish highly preferred

– Ability to respond to competing priorities

– Must have valid drivers license 

– Self-starter and self-disciplined with the ability to work independently

– Ability to work collaboratively with team members, community members and partnering organization representatives

– Must have strong organizational and time management skills

Working Conditions:

Responsible for the safety and security of the physical facility. Occasional evening and weekend work required. Work in a fast-paced and continually evolving professional environment. May work in outside areas. Occasional lifting up to 25 lbs. with reasonable accommodations. Frequent giving, receiving and analyzing of information. Frequent talking, writing, walking, standing, bending and stooping. Frequent use of computers, standard office equipment and software. May involve travel in and around the Denver Metro Area. Expected to work extended hours as needed.
