Facilities/Operations Manager

Job Description Summary:

Oversees the facilities and operations management of two SCCC locations. Responsible for short and long-term goals and process improvements for operations and facilities. Oversees safety of work environments and ensures safe work practices. 

Essential Functions:

1. Supervises the Driver, warehouse volunteers, temporary or volunteer drivers and volunteer groups who perform work in the warehouse or improvements to facilities.

2. Utilizes Driver and volunteers to assist with organizing facilities. 

3. Develop systems for tracking and monitoring facilities/maintenance requests and needs throughout both facilities.

4. Hires and supervises contract landscaping service to provide landscape maintenance.

5. Responsible for ensuring the maintenance and safety of SCCC facilities and vehicles.

6. Manage contractor relationship and monitor performance of SCCC’s security system including alarms, allocation of entrance key cards and security cameras at both SCCC locations.

7. Responsible for ensuring that all SCCC equipment is in good working order.

8. Responsible for buying supplies for the thrift store, offices, and food bank. Researches and negotiates the best price.

9. Pays participant bills as needed and requested by advocates.

10. Ensures the interiors of facilities are clean. Responsible for hiring and supervising contract cleaning crew if necessary.

11. Ensures the outside areas and parking lots are clean, utilizing volunteers and community service workers to assist. 

12. When possible, performs small repairs. If not equipped to make repairs, identifies contractors, secures bids, and hires the appropriate contractor to perform the job.

13. Works with the Chief Development Officer, Chief Operating Officer, and Nutrition and Healthy Living staff to identify and solicit new businesses for in-kind donations.

14. Serve as primary contact for grocery recovery food donations, working closely with Nutrition & Healthy Living Manager and partner agencies – Community Food Share (CFS) and Food Bank of the Rockies.

15. Coordinates the receiving of the weekly CFS delivery. Assists with ordering when requested by Nutrition and Healthy Living staff.

16. With the Nutrition and Healthy Living Manager and Food Bank Coordinator, coordinates and organizes the annual CFS site visit, Food Bank of the Rockies site visit, TEFAP site visits, and health inspections.

17. Provide transportation and logistic support on major food drives.

18. Arranges for emptying, pickup, and removal of dumpsters and recycling as needed.

19. As needed due to special circumstances, schedules donor pickups. Assists donors with loading and unloading of merchandise when needed.

20. Assists with loss prevention in both facilities.

21. With CEO assistance, maintains budget for facilities and vehicle repair/ maintenance.

22. Schedules appropriate maintenance for facilities. Acts as SCCC liaison to contractors and City of Lafayette Facilities Division.

23. Schedules maintenance for company vehicles, routine inspections with CDOT; tracks and schedules maintenance of all SCCC equipment.

24. Keeps an inventory of all SCCC tools and equipment. Plans for replacement of aging or broken equipment when necessary. 

25. Schedules fire inspections and fire and tornado drills for SCCC buildings.

26. Oversees safety work environments at both locations. Serves as safety coordinator and supports on-boarding new staff with a safety orientation.

27. Ensures the safety of SCCC premises. Meticulously identifies and addresses any potential hazards.

28. Identifies, facilitates, and executes quarterly safety training sessions at All Staff meetings, fostering a culture of preparedness and awareness.

29. Demonstrates responsible use of SCCC Information Technology equipment and adheres to SCCC IT protocols. As needed, coordinate problem solving related to information system and networks. Responsible for oversight of the photocopy contractor.

30. May provide support with processing donations and mail when the Office Manager is out of the office.

31. Adheres to the policies of the Center and explains them to customers, volunteers, and donors as needed.

32. Demonstrates leadership in promoting Justice, Equity, Diversity & Inclusion and supports its organizational goals and initiatives.

33. Attends at least 80% of All Staff and In Service meetings.

34. Other responsibilities as assigned.

Desired Qualifications:

PHYSICAL DEMANDS: Frequent moving, Positions self to get the necessary work done, remain in a stationary position for a prolong period of time. May have to move equipment weighing up to 50 pounds on regular basis, for heavier weight items seek team assistance. Must be certified to operate forklift and must possess current driver’s license and driving record in good standing.
