Events and Administrative Coordinator
ABOUT THE ROLE
We are looking for an enthusiastic, resourceful and detail-oriented Events and Administrative Coordinator to join our team. In this position you will support staff and volunteers in providing solutions for the Rocky Mountain Region (Colorado, New Mexico, and Wyoming) to effectively manage water, the world’s most important resource.
ABOUT US
The Rocky Mountain Section of the American Water Works Association (RMSAWWA) is a non-profit, scientific and educational membership association dedicated to managing and treating water.
As a local section of the American Water Works Association, RMSAWWA’s goal is to engage volunteers in providing water industry networking opportunities as well as offering education to water professionals.
RMSAWWA values a commitment to safeguarding public health, ensuring all segments of society have a voice in the process of managing water, and supports open communication through honesty, sincerity and integrity.
LOCATION
This position is a full-time non-exempt position. We offer a hybrid work environment facilitating both remote and in-office opportunities. This position is hybrid requiring two days per week in the office (unless work-related event attendance precludes this.) The RMSAWWA office is located in The Hydro building on the CSU Spur campus at 4777 National Western Drive, Denver, CO 80216.
JOB DUTIES

General Admin/Technology
- Provide general administrative support
- Document and file management
- Coordinate calendars and schedule meetings
- Respond to requests from members, co-workers, and general public
- Database and email distribution list management and maintenance
- Website and social media updates and maintenance
- Marketing material development, production and delivery
- Assist with research projects/special projects
- Other duties as assigned
Training & Events
- Meeting and event support for Board, Committees and staff, such as invitations/RSVPs, event logistics, supplies/signage, food & beverage, registration, and venue coordination/setup; onsite check in and badging. Liaise with hotel/venue to ensure compliance
with contract and meeting setups/arrangements
- General pre-event correspondence (including phone calls, emails, etc) with training attendees
- Handle registration/login issues for trainings/events
- Create and send training certificates and related reporting
- Add training attendees to database / track member vs non-member attendance
- Maintain annual training log
- Send out post-event surveys and distribute results
- Provide professional, friendly member service through phone and email communications.
REPORTING RELATIONSHIPS
As the Events and Administrative Coordinator, you will report directly to the Executive Director.
EDUCATION AND EXPERIENCE
- Bachelor’s Degree (associate’s degree plus strong experience may be considered)
- Minimum of one (1) year of event planning experience.
- 3-5 years’ increasingly responsible administrative support experience performing the following: taking meeting minutes, working with executive/management level professionals; demonstrating excellent inter-personal and phone skills; composing memos; and having above average proofreading skills. A combination of experience and education is accepted.
- Experience utilizing technological tools and applications.
- Experience learning new computer programs
KNOWLEDGE OF:
- Business office functions
- Database management
- Event planning
- Intermediate level knowledge of Microsoft Office Suite and computer skills including word processing, spreadsheet programs
SKILLS:
- Experience, skills and comfort level with technology and learning new programs:
- Microsoft suite (notably Word, Excel, Outlook, PowerPoint, Teams)
- CRM database (Your Membership database experience would be a plus)
- Zoom
- Various online platforms, such as Canva, survey programs, Constant Contact
- Basic proficiency with HTML preferred
- Organizing and prioritizing work, exercising independent judgment, wisdom, and common sense within established procedures
guidelines and rules.
- Maintaining consistency in processes
- Interpersonal, verbal, and written communication for interaction with others.
- Excellent telephone and customer service skills
- Ability to be flexible, proactive, resourceful and efficient is crucial to this position.
- Self-directed, results-oriented work style with strong decision-making ability and a preference for working independently or in close harmony with a small team
- Discriminating attention to detail and proficiency in working autonomously, setting priorities, and meeting deadlines.
- Coordinating, executing and following up on events, meetings, trainings and other functions.
- Ability to apply general knowledge of procedures, practices, or operations and to follow detailed instructions
- Collaboration and respect are fundamental to the work we do, and the successful candidate have characteristics for working easily with volunteers.
LICENSES
Valid Colorado Drivers License
