Operations Manager & Bookkeeper
Motus Theater is looking for a full-time Operations Manager & Bookkeeper to work with Motus Theater’s leadership, to provide organizational, financial/bookkeeping, operations management, and administrative duties related to all aspects of nonprofit infrastructure and production activities that are essential to ensure that Motus fulfills its mission.
Motus Theater’s mission is to create original theater to facilitate dialogue on critical issues of our time. We aim to use the power of art to build alliances across diverse segments of our community and country. Motus Theater’s JustUs national tour brings the powerful monologues of formerly incarcerated people to support criminal legal reform. The regional tour of TRANSformative Stories in which transgender and nonbinary leaders share stories from their lives that lift up their humanity in the face of misleading anti-LGBTQIA+ rhetoric and policies. The multi-media UndocuAmerica project interrupts dehumanizing portrayals of immigrants by encouraging thoughtful engagement on the challenges facing the undocumented community and the assets immigrants bring to our country.
Operations Manager & Bookkeeper is a complex role that requires managing and executing competing and shifting priorities in an organization with campaign and performance intensity. The ideal candidate for the Operations Manager & Bookkeeper position has three or more years of experience in nonprofit administrative management and nonprofit bookkeeping. They are a people-oriented professional who brings relationship-building abilities to the team and enjoys working in a front-facing role. They are meticulously attentive to detail (spreadsheets are their comfort zone), and have an acumen for managing behind-the-scenes operations. They thrive in a collaborative, high-productivity environment and are excited about making a difference in the community by supporting the advancement of Motus’ mission.

Responsibilities include:
Operations & Administration:
- Data management – data entry/retrieval including support with DonorSnap, evaluations, e-communications, and uploading marketing to community calendars;
- Supports leadership with planning, production, and logistics for organizational, development, and program-related meetings, workshops, performances, and travel;
- Orders and manages office and project supplies and equipment within the confines of the annual budget and approval from the Artistic and/or Producing Executive Directors;
- Assists in preparing, and picking up/dropping off materials and mailings for various campaigns and performances;
- Manages front of house at select Colorado events (merch. sales, ticket sales, donations, evaluations, & volunteers);
- Assesses administrative & operations processes and policies and makes recommendations for new or improved policies & procedures;
- Creates and improves business and programming tracking spreadsheets;
- Manages Motus Theater’s general phone line, email, and P.O. Box;
- Maintains organizational files in hardcopy and digital formats;
- Assist staff with troubleshooting office equipment and systems;
- Assists the Producing Executive Director with grant submittals and follow-up.
Bookkeeping:
- Daily QBO input of PayPal, deposit, EFT bank cash transactions;
- Enters AR invoices/Pledges into QBO;
- AP and Vendor bill payment;
- Monthly bank account (1), Investment (1), and credit card (5) reconciliations;
- Monthly journal entries for payroll (outsourced);
- Prepares annual 1099 filings using Justworks (our PEO);
- Prepares and works with Tax Accountant and Auditor to ensure timely completion of financial review and 990 return;
- Quarterly Sales Tax filing;
- Accrual basis recording;
- Prepares monthly financial reports for leadership review;
- Manages good internal financial processes that protect the organization from vulnerabilities;
- Supports the preparation of organizational and project budgets as requested.
Payroll/HR Support:
- Manages our PEO partnership with JustWorks;
- Manage all HR benefits including enrollment, updates, and troubleshooting;
- Supports staff on-boarding and off-boarding by gathering the necessary documentation.
Other duties as assigned.
Qualifications
- Required:
- Three or more years of related experience in nonprofit office management;
- Three or more years of experience in nonprofit bookkeeping;
- Bachelor’s degree in business, nonprofit management, or related field;
- Proficient use of QuickBooks Online;
- Modern computer technology skills, including proficient use of Microsoft Office Suite, Google Suite;
- Strong interpersonal, verbal, and written communication skills;
- Ability to foster positive relationships with program participants and the public;
- Ability to build rapport with diverse groups of people;
- Excellent organizational skills, attention to detail, and problem-solving ability;
- Ability to self-direct, take initiative, recommend, and implement process improvements;
- Ability to prioritize and maximize workload, and manage multiple projects and deadlines;
- Demonstrated qualities of an effective team player: ready to pitch in for any all-hands-on-deck moments; attributes of honesty, confidentiality, respect, and professional integrity in support of the organization;
- Ability to work 40 hours a week, primarily from Motus’ telecommuting office location. Flexibility to adjust weekly schedules to accommodate performances, workshops, and events on weekends and evenings.
- Reliable access to a car to facilitate gathering and distributing Motus event materials, mailings, and business;
- Ability to work in the Boulder County/Denver Metro area;
- Commitment to the values of Motus Theater.
- Preferred:
- Certification in bookkeeping and GAAP compliance (e.g., Certified Bookkeeper (CB), Certified Public Bookkeeper (CPB), Certified Nonprofit Accounting Professional (CNAP), or the equivalent);
- Experience with donor database software (data entry);
- Bilingual English/Spanish;
- Typing speed of 60-90 WPM (words per minute).
