Associate Director, Conferences

The International Association for the Study of Lung Cancer (IASLC) is the premier global and multidisciplinary membership association for medical professionals and researchers, who are committed to the mission of conquering lung and thoracic cancers worldwide in the 21st century. We are looking for an energetic, innovative Associate Director, Conferences to oversee logistics for all domestic and international conferences hosted by the IASLC and provide world-class meeting opportunities for our global, multidisciplinary membership. 

This exempt, supervisory position leads the Conferences department and reports to the Chief Operating Officer. This position works a hybrid schedule out of our Denver office. 

In this role, you will:

• Lead the planning, logistics, budgeting, contracting, execution, evaluation, and expense reconciliation for all IASLC meetings and conferences, ranging from workshops with fewer than 100 attendees to the annual World Conference on Lung Cancer, which hosts over 7,000 attendees.

• Develop, manage, and execute a comprehensive strategy for all IASLC in-person and virtual conferences and meetings.

• Manage, supervise, and mentor the Conference team.

• Steward relationships with service and solution providers, maximizing performance and return on investment through effective contract management and delivery of work.

• Work closely with teams responsible for communications, marketing, membership, corporate development, and sponsorship to ensure coordinated meeting logistics and staff responsibilities.

• Oversee and refine the site selection process for IASLC conferences and events.

• Develop, review, and recommend strategies, budgets, and contracts to ensure the best value for the IASLC and compliance with financial needs and industry best practices.

• Actively participate in cross-functional planning teams for large-scale events, setting timelines, goals, and project plans.

• Foster a positive, collaborative culture between the Marketing & Communication team and other departments and promote a philosophy of internal customer service.

• Efficiently manage the marketing budget and allocate resources effectively across all activities.

A successful candidate will have the following qualifications:

• A deep commitment to the mission of IASLC and compassion for those living or at-risk for lung cancer

• Bachelor’s degree or higher

• Certified meeting Professional (CMP) certification or similar credential required

• At least 7 years direct experience in professional conference planning and management and large meetings with attendance of 3,000 or more

• Previous experience in planning international and/or medical or scientific education meetings

• Proven ability to build productive working relationships with multiple stakeholders

• Strong commitment to delivering high-quality customer service.

• Exceptional written and verbal communication skills.

• Strong project management skills and proven ability to handle multiple projects simultaneously.

• Previous direct supervisory experience and budget management. 

• Ability to work effectively in collaboration with various internal teams.

• Strong multicultural awareness and sensitivity with ability to build cross-cultural consensus. 

• Multilingual literacy/fluency and/or international experience a plus.

• Previous work experience in a professional membership association very helpful.
