Office Manager


Since 1970, the Golden Civic Foundation (Foundation) has acted “For the Good of Golden” as a City of Golden community catalyst, responding to immediate needs and anticipating future challenges. The Foundation’s primary focus includes civic development, community-oriented small business loans and an annual Community & Special Grants Program that has provided more than $7.47 million in funding to charitable organizations, public schools, government, museums and cultural centers in the greater Golden area. The Office Manager will report to the Executive Director and assist with many aspects of the Foundation’s operations. This person will be a critical staff team member and play an important role in creating and executing strategies that support the administration, programming, and fundraising goals of the Foundation. Our current staff of two are led by a dynamic Board of Directors and are a creative, efficient and strategic team who have a great passion and satisfaction for the positive impact we are able to make on our Golden community.



Responsible for all general office management/duties including but not limited to:

 Maintains the Foundation’s Client Relationship Management (CRM) database using Salesforce Nonprofit Success Pack (NPSP)

 Maintains files and folders in the Foundation’s online and physical file storage systems

 Responsible for printing and tracking thank you letters/donation receipts for all donations

 Attends and records minutes at Board Meetings and other Board committee meetings as assigned

 Executes routine office duties including picking up/dropping off mail from downtown Golden post office, assisting with direct mail campaigns, maintaining/ordering office supplies and marketing collateral, and other duties as assigned


Assists with implementation of the Foundation’s annual Community Impact Grant Program and loan program. This includes tracking status of applications, contracts, and data in Salesforce NPSP and general correspondence to applicants.


 Provides frequent updates to the Foundation’s website through WordPress

 Provides support for developing social media content in Canva or similar platforms

 Provides support for eblasts and email marketing using MailChimp


Assists the Development Director with planning and implementation of various fundraising programs and events including:

The Golden Keystone Monthly Giving Program

 Assist with monthly giving promotions, communication and program administration

 Produce monthly giving reports to the Development Director

Annual Golden Summer Jam (held in June)

 Attends and helps with on-site aspects of the event, as needed

 Provides input and support of overall event planning and marketing

 Assist with post-event reporting and thank you letters

Annual Gala & Auction (held in the fall)

This is the Foundation’s largest event and raises funds to support our Community Impact Grants Program. This event involves numerous stakeholders, donors, and volunteers. This job role would specifically support the following event needs:

 Helps with the procurement and logging of auction items into our auction software system

 Attends and helps with on-site aspects of the event, as needed

 Provides planning input and assists with the event debrief including production of follow-up correspondence, event cleanup, etc.


Other Job Functions and Special Events

Assists with other special events, as needed, including tabling opportunities. These include, but are not limited to, Colorado Gives Day and Community Grants Breakfast support and three to four other community related/partnership events annually.


Demonstrated experience in organizational and administrative skills including:


 Associate of Arts degree or equivalent experience

 2-3 years prior administrative/office manager experience

 Exceptional computer skills, including proficiency with Microsoft Office 365, Salesforce NPSP and and/or a strong aptitude for learning new technology

 Outstanding oral and written communication skills

 Proven organizational and planning skills, and ability to multi-task


 1-3 years of event planning experience or similar quantification of skills

 Moderate graphic design skills

Due to the local orientation of our Foundation, there will be a preference for a person who has knowledge, familiarity, and the ability to work with a diverse range of people, businesses and non-profit organizations within the Golden, CO community.


Our office is located in a private office space on the third floor of Connects Workspace at 1301 Arapahoe Street (above Café 13) and provides a phone, copy machine, printer, Wi-Fi and beverages/snacks. Employee will receive an employee parking permit from the City of Golden that allows for free parking in designated zones.

The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to walk. The employee frequently is required to stand; sit; reach with hands and arms; and perform repetitive motions with wrists, hands, and fingers; stoop, kneel, crouch, or crawl; and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus. The noise level is usually moderate and may increase at specific events.

Some of our events take place outside of normal business hours and attendance at these essential events will be required.
