Project Manager Position Description
Reports to: Executive Director
Position Summary:
The Project Manager works closely with the Executive Director, Development
Director and the Chair of the Global Hope Board of Directors. The Project
Manager oversees all aspects of Global Hope’s Godparent Program, ensuring
seamless sponsor sign-ups, meaningful communication between godparents and
children, and accurate data management. This role is responsible for
coordinating program activities, managing child and sponsor records, supporting
special events, and enhancing engagement through newsletters, social media, and
special appeals. The ideal candidate is detail-oriented, organized, and
passionate about fostering connections that support the well-being of orphaned
and vulnerable children.
Key Responsibilities:
Sponsorship Coordination:
- Manage all sponsorship sign-ups and account set-up processes.
- Prepare materials (profiles, signs, etc.) for sponsorship drives and special events.
- Collect sponsor registrations and follow onboarding procedures.
- Send welcome packets and set up sponsor accounts in CRM.
- Maintain and update website sponsorship pages, rotating children as needed.
Child Updates & Correspondence:
- Request and distribute individual child updates twice a year.
- Send general updates and photos to godparents periodically.
- Notify godparents of specific or unusual child updates as appropriate.
- Coordinate all correspondence between godparents and children, including letters sent via mission teams.
- Record all communication in the CRM godparent journal.
Godparent/Child Account Management:
- Manage child reassignment due to relocation, aging out, or other changes.
- Maintain up-to-date records in the CRM, including new child profiles, updates, and recent photos.
- Track godparent account details, including renewals, payment updates, and failed transactions.
- Keep rosters of all children and godparents for every location current.
Communications & Outreach:
- Produce and distribute the monthly Global Hope newsletter via Constant Contact.
- Create and send special appeals for specific projects, monitoring donations and reporting outcomes.
- Develop and manage an annual social media calendar, write posts and source photos/videos.
- Proofread and upload the Executive Director’s monthly thank-you letter.
Event & Program Support:
- Coordinate child sponsorship information and displays at special events.
- Partner with churches for sponsorship drives, events, and the Christmas Giving Tree program.
- Assist with fundraising events, mailings, and the creation of promotional materials.
- Assist with various projects as assigned by the Executive Director.
Record Keeping:
- Maintain organized digital records in Box, including child updates, rosters, partner reports, and welcome packets.
