We are seeking an Volunteer & Operations Coordinator to lead the organization into its future.

The Volunteer & Operations Coordinator will play a crucial role in supporting volunteer teams and ensuring efficient clinical operations. This role will facilitate communication between volunteer leaders and executive leadership, create sustainable systems for volunteer management, and ensure compliance with best practices in patient care. This position will also focus on improving volunteer experience and fostering the educational and developmental growth of student volunteers.

DAWN Health values providing our volunteers with leadership experience in a healthcare setting, so this role will work to support our existing volunteer teams and help DAWN Health grow sustainably.  

Key Responsibilities

Volunteer Support and Compliance:

• Support volunteer workgroup teams in areas of compliance and onboarding.

• Ensure all liability paperwork is accurately completed and maintained.

• Manage the onboarding of faculty preceptors.

• Handle all Epic (electronic medical record) access requests for volunteers. 

Communication Facilitation:

• Serve as a liaison between volunteer workgroups and clinic leadership.

• Manage interpersonal and volunteer performance issues as they arise. 

• Ensure clear and effective communication channels are maintained.

System Development:

• Develop and implement sustainable systems for recruiting, onboarding, and tracking volunteers with the volunteer Director of Recruitment. 

• Work with volunteer workgroups to create training programs for incoming volunteers. 

• Evaluate the viability of new volunteers and integrate them into appropriate workgroups alongside Student Director volunteer leadership. 

Metrics Tracking:

• Track metrics for volunteer satisfaction, learning experiences, and other volunteer-related data.

• Create reports from data to share with key stakeholders – showing our impact on student learners and community volunteers. 

• Analyze data to identify areas for improvement and report findings to leadership.

Compliance and Best Practices:

• Ensure clinics adhere to best practices for consent to treat, patient privacy, and other critical patient care policies.

Volunteer Experience Enhancement:

• Continuously seek ways to improve the volunteer experience and address any challenges.

Educational and Developmental Support:

• Facilitate the educational and developmental growth of student volunteers through structured programs and mentorship alongside the Director of Medical Services and Education. 

Project Management:

• Manage projects focused on the expansion of volunteer workgroups and the creation of new volunteer roles with the Student Director leadership team. 

Additional Duties:

• Perform other clinical operation and volunteer coordination duties as needed.

Skills Needed:

• Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.

• Computer Software Competency: Proficiency in Microsoft Office Suite, Epic Electronic Medical Record, and other relevant software and technology platforms.

• Problem-Solving Abilities: Strong analytical skills to identify issues and develop creative, effective solutions.

• Managing Competing Priorities: Capability to handle various tasks simultaneously and independently in a mission-driven environment.

• Strong Communication Skills: Excellent written and verbal communication skills for interacting with volunteers, leadership, and external partners.

• Creative Problem Solving: Ability to think creatively to solve problems and improve processes.

• Collaboration with Volunteers: Experience working alongside volunteers, with a focus on creating supportive and efficient solutions.

Qualifications:

• Bachelor’s degree in a related field or equivalent experience.

• Experience in volunteer management, nonprofit operations, or healthcare administration.
