Operations Coordinator

The Crisis Center offers a hybrid-style working environment with some employees; however, due to the nature of job responsibilities, this position will be 100% in the office. There may be occasions where this position will need to respond to emergencies after hours and weekends.   

Position Summary: The Operations Coordinator is a full-time position, responsible for overseeing the facility, technology and business operations of the Crisis Center. This position reports to the Director of Finance & Operations and is not a supervisory position.  

Duties and Responsibilities: Although all areas are addressed, duties may be adjusted, added or deleted as necessary and in the best interest of the Crisis Center as determined by the Executive Director and Director of Finance & Operations.  

Facility and Grounds Keeping Maintenance:

· Oversee all maintenance of the facility and grounds.  

· Vet and establish contracts with facility and ground maintenance vendors. 

· Schedule and be present for maintenance work. 

· Prepare, schedule and be present for all security inspections.  

· Work directly with facility and grounds maintenance vendors to ensure the work is completed in a timely manner.  

· Create and maintain an annual calendar of maintenance, inspections, and security updates. . 

· Write a detailed maintenance and inspection manual, updating as needed, but at least annually. 

· Provide regular training to agency employees about maintenance, safety, and inspection procedures.  

Areas of Facility and Ground Keeping Include:

Snow removal, heating/air conditioning, geothermal, solar, septic system, irrigation system, backflow testing, trash removal, janitorial, pest control, landscape maintenance, client telephone line, building security (including fire inspections/fire extinguishers, fire mitigation system, elevator inspections/maintenance, security cameras and gates, external and internal door and window locks), general building maintenance (including windows/screens/blinds, interior and exterior painting, roof, lighting,appliance repairs and replacements) 

Business Administration:

· Collect mail at least three times a week, open, time stamp and place mail in the appropriate mailboxes.  

· Process all checks/cash and follow all required procedures to ensure compliance with financial policies. 

· Create an annual calendar of required training and certifications for employees (includes CPR, Victims’ Rights, Civil Rights and Victim Compensation).  

· Assist Director of Finance & Operations with timesheet disbursement for employee signatures. 

· Work with our IT, phone, web-based and internet vendors as necessary and help staff trouble-shoot issues in these areas as needed.

· Work with Director of Finance & Operations on renewal of commercial and worker’s compensation insurance policies. 

· Develop a bid process for vendor renewal. 

· Negotiate vendor contracts. 

· Assist the Director of Finance & Operations as requested.  

Other Duties:

· Oversee agency vehicle maintenance requirements. 

· Assist the Management Team with scheduling meetings with constituents as requested. 

· Assist the Executive Director with Board of Director meeting packets and schedules as requested. 

· Input donor information and send thank you letters to donors.  

Preferred Qualification:

· Associate degree and/or three years of related experience in business operations.  

· Bi-lingual Spanish preferred. 

· Strong ability to think critically and pay attention to details.  

· Must be willing to work when emergencies arise. 

· Must be proficient with Microsoft Office applications, Teams, Zoom, Adobe, Salesforce, and donor datebases (Bloomerang perferred)  

· Ability to help staff problem solve issues and coordinate with vendors as necessary.  

· Ability to complete tasks with minimal supervision and to carry out assignments with limited direction. 

· Ability to work independently and as part of team to deliver results. 

· Excellent written, verbal and organizational skills. 

Hiring Requirements:

· Must pass background check, including Colorado Bureau of Investigation (fingerprint) and Colorado TRAILS and review of sex offender registries for all states and jurisdictions where one has resided within the last five (5) years.  

· Employees are strongly encouraged to be fully vaccinated for COVID-19, including boosters, and flu unless qualified for exemption for medical or religious reasons.  

· Most hold a valid Colorado State Driver’s License and provide proof of insurance. Must be considered an approved driver by Crisis Center, and as directed by
agency insurance provider.
 

Work Environment: This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones,
photocopiers, and filing cabinets. 

Physical Demands: This is largely a sedentary role; however, some standing is required. This would require the ability to lift up to 50 pounds, open filing cabinets and bend or stand as necessary. 

Position Type and Expected Hours of Work: This is a full-time position. Days and hours of operations are Monday through Friday, 8:30 – 5:00 p.m.

ABOUT THE CRISIS CENTER: Established in 1985, the Crisis Center serves adults and children impacted by domestic violence. We provide a 24-hour crisis
line, emergency shelter, therapy and advocacy programs, as well as outreach and education to the community. All direct services for clients are free and confidential.
