Accounts Payable Specialist
Colorado Academy (“CA”) seeks a meticulous and organized Accounts Payable Specialist to join our Business Office. This position is responsible for processing vendor invoices, maintaining accurate financial records, and ensuring timely payments. The ideal candidate will be a strong collaborator with excellent organizational, analytical, and communication skills.
Key Responsibilities and Essential Functions:
- Abides by CA’s Employee Policy Book
- Commits to the ideals expressed in CA’s Mission Statement
- Financial Management:
- Processes vendor invoices and expense reports in accordance with school policies
- Prepares and processes payments (e.g., checks, ACHs, wires, and credit card payments)
- Imports payment information to the bank’s online positive pay and ACH systems
- Reconciles vendor statements and resolves discrepancies
- Maintains accurate and up-to-date vendor information and records
- Serves as administrator of the school’s purchasing card program
- Assists with month-end, quarter-end, and year-end closing procedures
- Prepares payables supporting documentation for annual audits
- Prepares calendar year-end IRS Form 1099s
- Prepares and distributes month-end financial reports to budget managers
- Operational Efficiency:
- Collaborates with departments to ensure timely and accurate processing of invoices
- Identifies opportunities to automate accounts payable processes
- Maintains appropriate professional skepticism when reviewing payment requests
- Keeps informed of changes in accounting and tax regulations
- Customer Service:
- Fields business-related questions from faculty, staff, and administration
- Serves as an Administrative Assistant to the Business Office Team
- Develops and maintains positive relationships with vendors and internal stakeholders
- Other duties as assigned
Requirements
Qualifications/Experience:
- High school diploma or equivalent
- Previous experience in accounts payable preferred, with a strong preference for experience in a not-for-profit environment
- Proficiency in Microsoft Office Suite, especially Excel
- Previous experience with ERP accounting systems (e.g., Blackbaud, Senior Systems, etc.) required
- Strong attention to detail, accuracy, and organizational skills
- Excellent time management and problem-solving abilities
- Ability to work independently and as part of a team
- Well-developed interpersonal, written, and verbal communication skills, including the ability to communicate effectively with all constituents in a school environment, including students, co-workers, parents, alums, volunteers, and the public.

Physical Requirements and Work Environment:
- Works in standard office or classroom conditions and climate; occasionally works outdoors in varying weather conditions and climate
- Uses close vision and works at a computer screen for extended periods of time
- Works at a desk for extended periods of time; regularly moves around campus and between campuses to supervise auxiliary programs in a variety of indoor and outdoor locations
- Ability to occasionally move items weighing up to 30 lbs. across the campuses/office
- Works in a stressful environment, effectively dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts; frequently requires the stamina to maintain attention to detail despite interruptions
- Ability to work flexible hours to meet monthly, quarterly, and annual deadlines and to support before and after-school or weekend activities
