Front Desk Coordinator

SUMMARY OF POSITION
The Front Desk Coordinator is responsible for providing support to both participants and staff. This position manages all telephone inquiries and walk-ins courteously and professionally while adopting a trauma-informed approach. As the first point of contact for stakeholders, this position requires a high-level of understanding across all functional areas of the organization with an emphasis on programmatic offerings. The Front Desk Coordinator will balance ongoing data entry and administrative tasks while responding to timely organizational needs via special projects. This position requires communication with multiple teams across the organization, external partners, and participants.
CWEE is seeking a flex player with a warm and persistent approach and a commitment to providing high-quality service. This role requires changing course quickly as the needs of the organization evolve as well as the ability to problem solve in real time.
ESSENTIAL RESPONSIBILITIES
Reception and Administrative Support (up to 50% of time)
- Operates front desk by greeting and directing all visitors and phone calls appropriately
- Tracks all front desk operations and reports out regularly on needs and outcomes
- Engages across the organization to understand daily needs in order to effectively welcome and direct CWEE guests
- Supports CWEE programming by setting up/tearing down meeting rooms, ordering food and coordinating supplies
- Works closely with the Manager of Education and Employment on administrative projects, as requested
- Ensures cleanliness of shared CWEE spaces, including lobby
Data Entry and Special Projects (up to 45% of time)
- With direction and support from the TANF Expert, completes ongoing daily, weekly and monthly tasks around data entry
- Contributes to regular data collection and reporting requests
- Supports organization-wide activities including events, meetings, and campaigns
- Provides ongoing project support as needs arise
Professional Growth and Wellness (5% of time)
- Regularly reflect on progress toward professional goals, both individually and with supervisor, identifying and following through on learning opportunities
- Identify opportunities to mitigate stress
JOB QUALIFICATIONS
- Exposure to human services, education, workforce development or related setting, preferred
- Demonstrated ability to work with individuals from diverse and economically disadvantaged backgrounds
- Ability to establish and maintain effective working relationships with all CWEE stakeholders
- Ability to manage a high volume of inbound/outbound calls with enthusiasm and poise
- Ability to adopt a strengths based and trauma-informed approach
- Skilled with daily, detailed data entry and outreach
- Strong computer skills including web-based databases, internet research and intermediate knowledge of Microsoft Office applications
- Ability to model professional dress and workplace conduct
- Strong written and oral communication skills
- Deadline oriented with ability to manage large amounts of data and create tracking systems
- Need consistent mode of transportation, job requires frequent in-town travel
- Bilingual in English/Spanish is a plus
