Position Summary:
This is an exempt, full-time position that supports institutional advancement. The position reports to the Senior Grant Specialist. The position entails research, writing, and submitting grant proposals to diverse funding organizations to secure financial support for university initiatives and projects. The Grant Specialist also coordinates and facilitates the proposal development process, and works closely with faculty, staff, and administrators to ensure high-quality submissions that align with institutional goals and funding priorities in fulfillment of the University’s purpose, vision, and strategic plan.
Specific Job Duties (Essential Functions and Responsibilities):
Grant Proposal Development:
● Conduct thorough research to identify funding opportunities that address the university’s strategic priorities and initiatives and upon request. Share with campus constituents as appropriate.
● Facilitate, write, and assist the development of compelling grant proposals and narratives that effectively communicate project goals, research methodologies, outcomes, and budget justifications to meet solicitation specifications.
● Assist faculty and staff to develop or complete the non-technical aspects of grant proposals; facilitate faculty/staff incorporation of technical (program-specific) content and supporting research into proposals.
● Ensure compliance with all grant requirements, including agency regulations and institutional policy, and proposal preparation guidelines such as formatting, supporting documentation, and submission deadlines.
Proposal Coordination and Facilitation:
● Serve as a central point of contact for grant proposal development and support completion of internal university grant processes (Concept proposals, Intents to Apply) to meet ASU’s Grant Policy, including obtaining signatures, and communication with departmental representatives/ project directors, and the Finance Office, Controller of Sponsored Programs, Purchasing Office, and ASU Foundation, as applicable.
● Coordinate proposal development meetings, agenda/notes, timelines, and deliverables to ensure timely submission, including budget to be reviewed by the Controller of Sponsored Programs.

● Provide guidance and support to faculty, staff, and consultants on developing competitive proposals, including draft and budget review, and feedback for improvement.
● Collaborate with the Office of Institutional Effectiveness to facilitate institutional data extraction and reporting mechanism/s for grant applications upon request.
● Facilitate collaborations among multiple departments or institutions when necessary to strengthen proposals and enhance competitiveness.
The secondary duties of this position include:
Grant Planning and Communications:
● Maintain a current listing of grant resources with access to databases for funding potentials.
● Conduct informational ASU grant process presentations or proposal development workshops for campus constituents.
● Maintain currency of Grants Administration web postings, monthly Cabinet status reports, and provide information on grant awards to the Public Relations & Marketing Office to be publicized in the campus e-newsletter and other publications.
● Maintain accurate records of grant submissions, awards, and post-award revisions for reporting and planning purposes.
Professional Development and Networking:
● Monitor grant funding trends, policies, and opportunities to advise university leadership on funding potentials.
● Attend workshops, conferences, and professional development opportunities to enhance skills and knowledge.
Qualifications
Required:
● A Bachelor of Arts in English, Communications, Business, Public Administration, or related field from an accredited college or university.
● Proven experience in grant writing, budgets, and proposal development, including securing federal, state, and/or private grant funding.
● Excellent writing, editing, communication, and organizational skills, with demonstrated proficiency in Microsoft Office software applications, including spreadsheets and word processing; familiarity with database searches.
● High level of attention to detail, accuracy, and commitment to producing high-quality work under tight deadlines.
● Commitment to equity and inclusion, and ability to work collaboratively with diverse teams and stakeholders, including faculty, administrators, and external partners.

Preferred:
Master’s Degree and experience securing and executing federal, state, and/or private grant funding at a university.
Knowledge of funding sources and grant-making processes in higher education or related fields.
