Agency Partner Relations Manager
A Precious Child, Inc. is a 501(c)(3) nonprofit organization that provides children in need with opportunities and resources to empower them to achieve their full potential. A Precious Child envisions a future where every child grows up to be a secure, self-reliant, contributing member of their community.
In working towards helping A Precious Child meet its overall objective of providing opportunities and resources for children in need, the Agency Partner Relations Manager is responsible for overseeing and managing external partnerships with our Agency Partner network and managing the database systems to do so. A Precious Child works with more than 300 community agencies such as health and human services, schools, nonprofits, and police and fire departments to identify families most in need of our programs and services.
The role requires a combination of strategic planning, relationship management, and a commitment to maintaining high standards of service delivery. Success in this position would involve a proactive approach to identifying and seizing partnership opportunities, effective communication both internally and externally, and a dedication to the organization’s mission.
Hours: Full-Time, Exempt, with some evenings and weekends
Reports To: Program Impact & Partnerships Director
Areas of Responsibility:
- Partnership Management:
- Manage and coordinate the process to accept and onboard new Agency Partners while also cultivating and elevating partnerships and aligning partnership strategies with the broader goals of A Precious Child
- Coordinate all aspectsof A Precious Child’s AgencyPartner relations, including the signing and renewal of a Memorandum of Understanding (MOU), onboarding, orientation, training and support
- Manage the Agency Partner email inbox and prioritize time-sensitive issues by implementing an effective triagesystem to categorize and address emails based on their urgency and importance
- Maintain timely and transparent communication with partners to address any discrepancies or issues related to the organization’s expectations, standards, and guidelines, ensuring alignment and compliance
- Establish and maintain communication materials and channels to keep partners informed on A Precious Child’s programming and processes, including the Agency Partner newsletter and monthly meetings
- Collaborationwith Departments:
- Work collaboratively with internal teams to optimize partner relationships through streamlined service delivery, communication and workflows.
- Establish and implement process improvement changes related to Agency Partner coordination across different departments
- Database and PortalManagement:
- Regularly update the CAPTAIN databasewith any changesto Agency Partner information, including contact details, organizational status, and any other relevant data (e.g., active, on probation, inactive)
- Establish and manage data cleansing procedures and data entry standards to ensure up-to-date and accurate data
- Have a deep understanding of the systemand its functionalities including troubleshooting issues, guiding users, and providing effective support
- Liaise with the Captain support team to report and resolve issues with the CAPTAIN database or Agency Partner Portal
- Documentation and Compliance:
- Maintain Agency Partner documentation and ensure partnership agreements are current and meeting compliance status
- Use Monday.com to document interactions with Agency Partners and ensure a streamlined partnership workflow with internal team members
- Handle Agency Partner complaints, suggestions, and requests with cultural competence, ensuring diverse perspectives are respected and considered
- Community Engagement:
- Work towards expanding the organization’s reach by strategically leveraging external partnerships to access new communities and resources
- Attend community meetings regularly to actively engage with community members, organizations, and stakeholders
- Evaluation and Improvement:
- Establish metrics and mechanisms to assess the effectiveness of external partnerships, with a focus on continuous improvement
- Supervision and Operational Support:
- Provide effective leadership, training, and supervision for Agency Partner interns and volunteers, ensuring a positive and impactful experience
- Provide general support to the Operations team when needs arise
- Other duties as assigned
Experience and Qualifications:
- Education:
- Bachelor’s Degree (Preferred): A degree in a related field, as specified in the qualifications. Consideration will also be given to candidates with significant related field experience, showcasing practical knowledge and expertise
- Relationship Management:
- Build and Nurture Relationships: Excellent relationship management skills, mature judgment, and superior diplomatic skills
- Strategic Networking: Ability to strategically grow the network of partnerships within the service area, aligning with the organization’s strategic goals
- Collaborative Approach: Ability to facilitate collaboration between A Precious Child and its Agency Partners, fostering a spirit of teamwork and mutual support
- Data Management and Analyses:
- Data Entry and Maintenance: Proficiency in accurately entering, updating, and maintaining data within the Captain database
- Database Queries: Generate and analyze reports from Captain to ensure data integrity, assess partnership effectiveness, and drive strategic decision-making
- Process and Procedure Coordination:
- Coordination Skills: Coordinating Agency Partner Process & Procedures with internal teams, requiring organizational and coordination skills
- Process Improvement: Capability to analyze processes and implement improvements to enhance efficiency
- Project Management: Experience using Monday.com or similar project management software to facilitate interdepartmental collaboration and document interactions with external partners
- Communication Skills:
- External Communication: Excellent oral communication, presentation, listening, and interpersonal skills with a focus on customer service relations
- Interdepartmental Communication: Effective communication skills to collaborate with internal teams
- Community Engagement:
- Community Awareness: Understands and appreciates the cultural nuances within the community and tailors engagement strategies accordingly
- Community Building: Actively engages in building relationships within diverse communities to strengthen partnerships
- Training and Support:
- Training Coordination: Experience in coordinating training sessions and support for internal staff and external Agency Partners on using the Agency Partner Portal and database

- Cultural Sensitivity: Demonstrates a high level of cultural sensitivity and awareness when working with individuals from diverse backgrounds
- Inclusive Communication: Ability to communicate effectively and respectfully with people of various cultural backgrounds
- Language Skills:
- Bilingual (Preferred): While not required, bilingual skills are beneficial to the position in communicating with the community we serve
- Technical Proficiency:
- Microsoft OfficeSuite: Highly proficient in using Microsoft Office tools

- Strong problem-solving skills to handle and resolve Agency Partner issues and questions from both staff and Agency Partners
